YR HEN YSGOL DINAS – Terms and Conditions of Hire

1. Covid – current Welsh Government covid guidance must be followed at all times. 

2. Bookings – A named member of each ‘User Group’ is responsible for making a booking using the online booking and payment system.  

  • The key to the front door is kept in a ‘key-safe’, the code for which will be given on receipt of payment.
  • The hirer may enter Yr Hen Ysgol at the agreed booking time and must leave at the end of the session leaving the key in the ‘key-safe’ at all times.   
  • The hirer must clean the floor and wipe down all surfaces in the room, leaving it in a clean and tidy condition at the end of each hire.
  • Use of Yr Hen Ysgol facilities and equipment is entirely at the hirer’s own risk.
  • Any damage, breakages or faults must be reported and all personal possessions removed at the end of each session. 
  • Fire extinguishers and a fire alarm system are installed, maintained and regularly inspected. 
  • Nothing must be attached to the acoustic panels located in each room.
  • Hiring charges are reviewed annually.  

3. Kitchen – use of the kitchen is governed by specific rules:

  • Hirers must respect the current ‘Five Star Rating’ for hygiene.
  • Hirers must bring their own tea, coffee, milk, sugar and dishcloths.
  • All food must be stored in secure containers.
  • All crockery and cutlery must be washed and cleaned and put away after use.
  • The kitchen must be cleaned thoroughly and left in a tidy condition after use.
  • All rubbish and waste must be removed by the hirer.

4. Responsibilities of each ‘user-group’: 

  • Observing health and safety regulations and fire safety procedures means of escape and location of first aid equipment.
  • Considering personal insurance risks relating to accidents and personal liability – the premises is insured for public liability
  • Obtaining licences for bar facilities and strictly observing licencing laws. 
  • Ensuring that all food prepared or taken on to the premises has been properly prepared, stored and served using guidelines set by Health and Safety regulations. 
  • Ensuring, where appropriate, that policies are in place for safeguarding children and vulnerable people on the premises.  
  • Ensuring reasonable conduct, avoiding public nuisance and respecting the building.
